Getting Started with Builder Growth OS

What BGOS is, how your workspace is organized, and where to find everything.

Welcome to Builder Growth OS!

Builder Growth OS (BGOS) is a web-based platform that lets a real-estate developer run sales, construction, finance, and marketing from one dashboard. Your company is a tenant — all of your data is isolated from every other builder — and you reach your workspace at your own web address — yourcompany.forembgo.com (the subdomain chosen at sign-up) or a custom domain you connect later. Some screens may show the product name as Business Growth & Operations; it's the same product.

Logging In

  1. Open your company's BGOS address (yourcompany.forembgo.com) in any modern browser (Chrome, Edge, Firefox or Safari). The bare forembgo.com site is the public/sign-up site and shows no tenant data by design
  2. Enter your email and password and click Sign in
  3. If two-factor authentication is enabled on your account, enter the 6-digit code from your authenticator app

Forgot your password? Click Forgot password on the login page — a reset link is emailed to you. Accounts must be verified and active — a deactivated user cannot sign in. Ask your account owner if you can't get in.

The Layout

  • Sidebar (left) - Navigation grouped into sections: Workspace, Sales & CRM, Inventory & Projects, Bookings & Documents, Finance, Channel Partners, Marketing & Comms, Support, Intelligence & Reports, Automation, and Settings
  • Topbar - Global search, the notifications bell, a dark-mode toggle, and your account menu (profile, settings, log out)
  • Main area - The page you're working on

Global search jumps across leads, projects and other records. Notifications are strictly yours — e.g. "a lead was assigned to you" or "a follow-up is due" — and can be marked read one at a time or all at once.

Modules at a Glance

  • Sales & CRM - 11-stage lead pipeline, follow-ups, site visits, telecalling, quotations, approvals, duplicates
  • Inventory & Projects - Plot layout, towers & units, price rules, projects, construction updates
  • Bookings & Documents - Bookings, applicants, KYC vault, agreements, per-stage documents checklist
  • Finance - Payments & collections, demand notices, tax invoices, reconciliation, loans, dunning
  • Channel Partners - Registrations, partner KYC, commissions, partner portal
  • Marketing & Comms - Campaigns, broadcasts, AI journeys, WhatsApp templates, outbox
  • Support - Tickets, warranties/AMC, queues & SLA policies
  • Intelligence & Reports - AI Copilot, report builder, performance reports, RERA compliance
  • Automation - Workflow inbox, workflow builder, org chart
Important: The sidebar only shows what your role permits and your plan includes. If you don't see a menu item a colleague has, that's expected — see "Understanding Roles & Permissions" below.

How Do I Sign Up and Set Up My Company Workspace?

Create your tenant, start the 14-day trial, and invite your team.

Creating Your Workspace

  1. Go to forembgo.com and click Register / Start free trial
  2. Choose your workspace address — a subdomain such as yourcompany.forembgo.com. Letters, digits and hyphens only; it must be unique and not a reserved word (www, app, api, admin, mail, support, help, status, billing, dashboard, etc.)
  3. Enter your company name, your name, work email, a password (and confirm it), and pick your country
  4. Submit the form — your tenant is created and you become the owner (org_admin)
  5. Every new tenant starts on a 14-day free trial with access to the product modules, in an empty workspace (no demo data)

Your country determines the billing gateway: Razorpay for India (₹ pricing, card / UPI / netbanking) or Stripe for international tenants ($ pricing). Note: self-service sign-up is currently open to companies based in India; international builders should contact us.

Recommended First Steps

  1. Settings → Users - Invite your team and give each person a role (Sales Manager, Telecaller, Finance, etc.). Each invitee receives an email with a set-password link that is valid for 60 minutes (they can use "Forgot password" afterwards)
  2. Settings → Branches - Create your offices; branches drive "team" lead visibility for sales managers
  3. Inventory & Projects → Projects / Towers & Units - Add your projects, towers and units (or bulk-import units by CSV)
  4. Sales & CRM → Leads - Start adding leads, or share your public enquiry form and partner registration page
  5. Settings → Security - Turn on two-factor authentication for the owner account
  6. Settings → Domains - Optionally connect your own custom domain (white-label) and request an SSL certificate

Evaluating? Try the Demo Tenant

A seeded demo project, Shri Basaveshwar Park (SBP), may be available in your environment with a Marketing Head, a Sourcing Manager and three Telecallers so you can see how the workspace changes per role. Ask your account manager for demo access.

Tip: Seats are limited by plan (Starter 5 · Growth 20 · Business 50 · Enterprise unlimited). Plan your roles before inviting everyone — see "Plans, Billing & Quotas".

Understanding Roles & Permissions

The eight roles, lead visibility scoping, PII masking, and plan-gated features.

The Eight Assignable Roles

Every user has one role. The tenant owner (the first user) is always org_admin and can do everything, including owner-only Settings & Admin.

RoleLead visibilityWhat they can do
org_admin (owner)AllEverything — CRM, finance, partners, marketing, support, reports, and Settings/Admin
sales_managerTeam (own + same branch)Full CRM (assign, merge, follow-ups, visits, quotations), inventory view + lock, bookings, KYC, agreements, partners, tickets, marketing, reports, L1 discount approval, AI
sales_executiveOwn onlyCreate/update own leads, visits, follow-ups, quotations, bookings, inventory view + lock, tickets. No assign/merge, marketing or partners
financeAllPayments & collections, billing documents, reconciliation, dunning, loans, applicants/KYC, commissions, booking approval, L3 discount approval, RERA report, reports, AI
read_onlyAllView-only across leads, visits, inventory, bookings, payments, agreements, construction, tickets, reports
marketing_headAllEvery lead, assign, follow-ups + visits, PII, reports, plus sales / CEO / collections dashboards
sourcing_managerAll (CP-focused)All leads + channel partners, follow-ups and sourcing reports, lead PII
telecallerOwn (assigned) onlyUpdate assigned leads, manage follow-ups, schedule site visits, see PII to make the call. No reports, partners or finance

Lead Visibility Scoping

  • own - Only leads assigned to you (Telecaller, Sales Executive)
  • team - Your leads plus everyone in your branch (Sales Manager)
  • all - Every lead in your company (Marketing Head, Sourcing Manager, Finance, Read-only, Owner)

PII Masking

Lead phone numbers and emails are masked unless your role holds the "view PII" permission. Telecallers, sourcing managers, marketing heads, sales managers and the owner can see PII. Report exports also mask PII unless you hold that permission.

Plan-Gated Features

  • RERA compliance reports - Business and Enterprise plans
  • Telephony / click-to-dial - Growth, Business and Enterprise plans

Custom Roles

The owner can define custom roles or permission overrides with the Role Builder under Settings → Users.

Need more access? Ask your owner to change your role in Settings → Users. Security pages (2FA) are always reachable regardless of role.

How Do I Add and Manage Leads?

The 11-stage pipeline, Kanban board, assignment, remarks, duplicates and the lost-lead cooldown.

Adding a Lead

  1. Go to Sales & CRM → Leads and click New / Add lead
  2. Fill in the name, contact details, source (e.g. Channel Partner, Facebook/Instagram Ads, walk-in) and project
  3. Save — the lead starts at Fresh Lead

Leads also arrive automatically from your public enquiry form, the partner portal, and campaign links.

The 11-Stage Pipeline

#StageKind
1Fresh Leadopen
2Attemptedopen
3Connectedopen
4Interestedopen
5Follow-up Requiredopen
6Site Visit Scheduledopen
7Site Visit Completedopen
8Not Interesteddead
9Booking in Progressopen
10Bookedwon
11Lostdead

Some transitions happen automatically: logging a call attempt moves Fresh → Attempted; a connect → Connected; scheduling a visit → Site Visit Scheduled; completing one → Site Visit Completed (or Booking in Progress if the visitor is interested).

Pipeline Board (Kanban)

Open Sales & CRM → Pipeline. Leads appear as cards in stage columns — drag a card to a new column to move it, or change the stage from the lead itself. Every move is recorded on the lead's timeline. A remark is required when you change a stage manually.

Lead Detail & Timeline

Open a lead to see its full timeline: source, assigned user, status history, follow-up history, remarks, site visits and booking status. Add notes/remarks from here.

Assigning Leads

Marketing Heads, Sales Managers and the owner can assign or reassign using the assignee selector on the lead detail or inline on the leads list. "Handle personally" assigns the lead to yourself. The new assignee gets an in-app notification (never for self-assignment).

Duplicates

Sales & CRM → Duplicates lists suspected duplicate leads. Users with merge permission can merge them into one record while preserving history.

Lost-lead cooldown: A lead marked Lost stays in a 90-day cooldown. A repeat enquiry during that window only annotates the existing lost lead; after 90 days it revives as a fresh lead. This is why you can't immediately re-add a lost lead as new.

How Do Follow-ups, Site Visits & Telecalling Work?

Schedule reminders, run site visits with check-in, and use click-to-dial in the Telecalling studio.

Follow-ups

  1. From a lead, click Schedule follow-up and pick a date and time
  2. Open Sales & CRM → Follow-ups — the worklist groups items into Today / Overdue / Upcoming
  3. Complete or snooze a follow-up from the worklist

A reminder job runs every 15 minutes and sends an in-app (and, if configured, WhatsApp/messaging) reminder to the assignee for due follow-ups.

Site Visits

  1. From a lead, Schedule a site visit — the lead moves to Site Visit Scheduled
  2. When the visitor arrives, check in using the check-in link/token
  3. Record the outcome — the lead advances to Site Visit Completed, or Booking in Progress if they're interested

All visits are listed under Sales & CRM → Site Visits.

Telecalling Studio

  • Open Sales & CRM → Telecalling and set your agent phone once so calls connect to you
  • Use Click-to-dial on a lead and record the call outcome when done
  • Call attempts and connects automatically advance the lead's stage
Plan note: Dialing and outcome capture need the Telephony plan feature (Growth plan and above). On the Starter plan you can still see the studio and worklist, but the dial button is unavailable — the owner can upgrade in Settings → Billing.

How Do I Create Quotations and Get Discount Approvals?

Build cost sheets, send PDFs to buyers, and route discounts through the L1/L3 approval matrix.

Creating a Quotation / Cost Sheet

  1. Go to Sales & CRM → Quotations and click Create for a lead
  2. Pick the unit and apply any pricing (price rules such as floor-rise or view premium are computed automatically)
  3. Download the PDF at any time, or Send it straight to the customer

Discount Approvals

If a quotation includes a discount above your authority, BGOS raises an approval request automatically. Approvers act on it under Sales & CRM → Approvals (and in Automation → Workflow Inbox).

DiscountApproval needed
Up to 2%None — auto-approved
Up to 5%L1 - Sales Manager
Up to 10%L2 - Owner (org_admin)
Above 10%L3 - Finance

Approvers approve or reject with a note. Booking cancellations are also approval-gated (default 10% cancellation deduction).

The owner can change who approves what in Automation → Workflow Builder.

Tip: Preview computed prices under Inventory & Projects → Price Rules before quoting, so your cost sheet matches the current rule set.

How Do I Manage Inventory: Projects, Towers, Units & Plot Layout?

Add units one at a time or by CSV, hold units, set price rules, and publish construction updates.

Inventory Pages

  • Plot Layout - Visual site/plot map with live availability; hold a unit; import units
  • Towers & Units - Manage towers and the units within them
  • Price Rules - Dynamic pricing (floor-rise, view premium, etc.) with a price preview
  • Projects - Project list & detail — milestones, snags, bookings
  • Construction - Publish progress updates and photos to customers; review their feedback

Adding Units

Creating a tower does not create its units — a tower is just the block they sit in. Two ways to add units:

  • Add a unit - One at a time. Pick the project and tower, then enter unit ID, floor, type, area and price. Entering a rate per sq.ft fills the price for you, and the unit ID is suggested from tower and floor. Leave Tower blank for plot layouts
  • Bulk unit import (CSV) - A whole tower at once. Header row: uid, tower, floor, type, facing, area, price, status. Units are matched on uid within the project, so re-importing the same file updates rather than duplicates

CSV Import Gotcha: Tower Names

The tower column must match an existing tower's name exactly. A row naming a tower that doesn't exist is still imported but without a tower link, and the unrecognised names are listed back to you in the confirmation. Create the tower and re-import the same file to link them up. If any unit isn't linked to a tower, a banner on the Units list names them.

Holding a Unit

On Plot Layout or Towers & Units, select a unit and click Hold to reserve it during a booking conversation.

Project Detail

Open a project to see milestones (trigger a milestone to raise its payment demand), snags (log and track defects), and to create bookings against the project.

Tip: Editing inventory needs the inventory.manage permission (Owner). Sales roles can view and hold units but not edit them.

How Do I Create a Booking and Manage Applicants & KYC?

Convert a lead to a booking, add co-applicants, and complete the KYC vault.

Creating a Booking

  1. Open the project (or the lead at Booking in Progress) and click Create booking
  2. Select the unit (held units are ideal), the buyer, and the payment plan
  3. Save — the booking appears under Bookings & Documents → Bookings and the lead moves toward Booked

Bookings may be approval-gated (Finance approves) depending on your workflow rules.

Applicants & Co-applicants

Under Bookings & Documents → Applicants, manage the primary buyer and add co-applicants (and nominees) on a booking. Applicant details flow into agreements and KYC.

KYC Vault

Bookings & Documents → KYC Vault is a required-document matrix per applicant with:

  • Versioned uploads - Uploading a newer document supersedes the old one
  • Expiry tracking - Expired documents are flagged
  • Name-match flags - Mismatched names between documents are highlighted (a fuzzy text comparison, not government identity verification)
  • A completeness indicator per applicant

Default requirements — primary applicant: PAN, Aadhaar, address proof, ITR, photo · co-applicant: PAN, Aadhaar, address proof, photo · nominee: Aadhaar, photo. KYC uploads accept PDF / JPG / PNG up to 5 MB.

Cancellations & Refunds

Raise a cancellation from Bookings & Documents → Cancellations. Cancellations are approval-gated and, once approved, drive the refund process in Finance.

Tip: Documents already held in the KYC Vault are automatically shown as Satisfied on the lead's Documents checklist — no double entry needed.

Documents Checklist & Agreements

Which documents to collect at each stage, who provides them, and how to generate signed agreements.

The Per-Lead Documents Checklist

Open a lead → Documents tab. This page is available to telecallers and sales staff so documents can be collected early. Each pipeline stage has a required-document checklist. By default:

  • Booking in Progress - PAN, Aadhaar, address proof, photo, booking form, token payment proof (all from the buyer)
  • Booked - Co-applicant PAN/Aadhaar, buyer income proof, plus builder-issued payment receipt and allotment letter

Each document is tagged by who provides itbuyer (collected from the customer) or builder (issued by you: payment receipt, cost sheet, allotment letter, sale agreement, possession letter, NOC). The checklist shows a completeness count (e.g. "3 / 6") with each item Missing, Received, Verified or Rejected.

Recording a Document

  1. On the lead's Documents tab, pick the missing requirement and click Record
  2. Choose the document type and party (buyer / co-applicant / nominee / builder), upload the file, and optionally add a document number / expiry
  3. Save — the item flips to collected and the count updates. Uploads are versioned

Documents already in the KYC Vault or final/signed agreements are folded in automatically as Satisfied, with a source badge.

Customizing the Checklist

The owner can change requirements per stage under Settings → Document Rules: pick a stage, view the effective matrix, add a requirement or mark a default as not required. Changes flow straight into every lead's checklist.

Agreements

  1. Agreement Templates - Create versioned templates with merge fields; toggle active
  2. Agreements - Generate an agreement per booking from a template (it snapshots the booking data)
  3. Move it Draft → Finalize → Sign, then Send to the customer and download the PDF

"Sign" records an offline sign-off (Awaiting sign-off → Sign-off recorded) — it is tracking of a physically signed agreement, not a legally binding e-signature. Signed agreement uploads accept PDF up to 20 MB.

Tip: Only "final/signed" agreements count as Satisfied on the documents checklist — drafts don't.

How Do I Record Payments, Collections & Payment Links?

Receive payments, send Razorpay links, issue receipts, demand notices and tax invoices, reconcile and run dunning.

Payments & Collections

Go to Finance → Payments & Collections to see the collections schedule and outstanding amounts per booking.

  • Receive a payment against a due item
  • Generate a payment link so the customer can pay online via Razorpay (card / UPI / netbanking)
  • Download a receipt PDF
  • AI reminder - Draft a payment reminder message with AI

Customers can also pay outstanding dues themselves from the Customer Portal. Default collection terms: demand due in 15 days, 7-day grace, then reminders escalate (WhatsApp → email → SMS).

Billing Documents

  • Demand notices - Issue, regenerate, send, and download (PDF) a demand notice for a due payment. Triggering a project milestone raises its payment demand
  • Tax invoices - Generate a GST tax invoice for a payment and download its PDF

Reconciliation

Under Finance → Reconciliation, import a bank / payment-gateway statement, then match each transaction to a recorded payment or ignore it.

Loan Management

Finance → Loan Management has an EMI & eligibility calculator (indicative rates, not live bank offers) and tracks a home-loan application through Apply → Sanction → Disburse.

Dunning

Finance → Dunning lists overdue collections. Run a dunning sweep to trigger reminders to defaulters.

Permissions: Viewing needs payment.view; receiving, issuing and reconciling need payment.manage (Finance role and Owner).

How Do Channel Partners & Commissions Work?

Partner self-registration, approvals, partner KYC, commission tiers, payouts and the partner portal.

Partner Registration

Brokers and channel partners can register themselves on your public page at /partner/register (no login needed). New registrations land in Channel Partners → Registrations, where you approve or reject them.

Partner KYC

Under Channel Partners → Partner KYC, collect partner documents (RERA certificate and PAN required, GST optional), monitor RERA license validity, and maintain a downloadable marketing kit partners can use. Approved partners receive an email with their portal login link. Partner-sourced leads are attributed to the partner for 90 days by default.

Commissions

  1. Define commission tiers under Channel Partners → Commissions
  2. When a partner-sourced lead books, a commission entry appears in the payout ledger
  3. Approve the payout, then mark it Paid

Partner Portal

Approved partners sign in to their own Partner Portal at /portal/partner with a one-time code (OTP) sent to their registered email or phone. There they can submit leads, browse available inventory, and view their own commission ledger.

Who can manage partners? Sourcing Managers, Sales Managers, Finance and the Owner. Approving registrations and uploading KYC need partner.manage; payouts need commission.manage.

How Do I Send Campaigns, Broadcasts & WhatsApp Messages?

Campaigns with AI ad copy, multi-channel broadcasts with A/B and DND, AI journeys and WhatsApp templates.

Marketing & Comms Pages

  • Campaigns - Create campaigns and generate AI ad copy; campaign links track which lead clicked
  • Broadcasts - Multi-channel broadcast builder: audience preview, A/B testing, DND suppression, scheduling
  • AI Journeys - Multi-step automated nurture/drip flows you can toggle on or off
  • WhatsApp Templates - Register templates and submit them for Meta approval
  • Outbox - Log of every outbound message; Inbox (under Workspace) shows per-lead conversations

Sending a Broadcast

  1. Go to Marketing & Comms → Broadcasts → New
  2. Build the audience (segments) and click Preview audience — DND opt-outs are suppressed automatically
  3. Choose the channel and content — for WhatsApp, pick an approved template
  4. Optionally set up an A/B variant
  5. Schedule or send now

WhatsApp Credits

WhatsApp sends draw on your plan's monthly WhatsApp credits (Starter 1,000 · Growth 7,500 · Business 20,000 · Enterprise unlimited). Check usage in Settings → Billing. If the monthly cap is reached, the send is recorded in the Outbox as failed with a reason (email/SMS are unaffected). Business-initiated WhatsApp messages outside the 24-hour customer window must use an approved template.

Template rejected? WhatsApp templates must be approved by Meta before use. Avoid promotional wording in utility templates and keep placeholders clearly numbered — then resubmit from WhatsApp Templates.

How Do I Use Support Tickets & Warranties?

Post-sale support: ticket queues, SLA policies, AI-suggested replies and AMC/warranty tracking.

Tickets

  1. Open Support → Tickets and click New ticket
  2. Set the subject, queue and priority
  3. Open a ticket to reply and update status; AI suggest drafts a reply for you

Customers can also raise tickets themselves from the Customer Portal. Ticket numbers are prefixed TKT-; priorities are low / medium / high / urgent and statuses are Pending → In Progress → Waiting Customer → Resolved → Closed. Tickets are routed by queue with round-robin assignment; the default SLA targets (response / resolution) are urgent 30 min / 4 h, high 1 h / 8 h, medium 4 h / 24 h, low 8 h / 72 h, with a warning at 80% and escalation to the assigned manager on breach.

Warranties / AMC

Support → Warranties tracks warranty / AMC coverage per unit; renew coverage from here.

Configuration

Support → Configuration lets ticket managers define queues and SLA policies.

How Does the AI Copilot Work?

Ask questions over your own data, generate digests, ad copy and reminders — within your AI token quota.

AI Copilot

Open Intelligence & Reports → AI Copilot and ask natural-language questions such as "Which leads have overdue follow-ups this week?" or "Total collections for Tower B?". Answers are retrieved tenant-scoped — the AI only ever sees your company's data, never another builder's.

Where Else AI Helps

  • Dashboard → AI digest - A summary of your day
  • Campaigns - Generate ad copy
  • Payments - Draft dunning / payment reminders
  • Tickets - AI-suggested replies
  • AI Journeys - Automated nurture flows

Quotas & Logs

AI usage draws on your plan's monthly AI token allowance (Starter 500K · Growth 1.5M · Business 3M · Enterprise unlimited) and is rate-limited (about 10 requests/min per user). Every AI call is logged with tokens, cost and latency; the owner can review them under Settings → AI run logs and see usage meters in Settings → Billing.

Tip: Asking the Copilot is open to signed-in users, but some lead/project AI actions need the ai.use permission. If your quota is exhausted, the owner can upgrade the plan.

Reports, Dashboards & RERA Compliance

Custom report builder, performance reports, CSV/PDF/XLSX exports and the RERA module.

Dashboards

The Dashboard shows metrics relevant to your role and offers views such as sales, collections, CEO and the CRM funnel (total leads, by source, fresh/connected/interested, follow-ups due + overdue, site visits, bookings, lost, conversion rate).

Report Builder

  1. Go to Intelligence & Reports → Reports
  2. Build a definition, preview it, and save
  3. Run it and export to CSV / PDF / XLSX

Lead PII stays masked in exports unless you hold the "view PII" permission.

Performance Reports

Pre-built CRM reports — user-wise, channel-partner-wise and source-wise — date-filterable with CSV / PDF / XLSX export. CSV exports of leads, bookings and collections are also available from their modules.

RERA Compliance

Intelligence & Reports → RERA Compliance produces a per-project regulatory report with CSV + PDF export. It requires the report.rera permission and the RERA module plan feature (Business plan and above). If your plan doesn't include it, the menu item won't appear.

Plans, Billing & Quotas

Starter, Growth, Business and Enterprise — prices, seats, AI tokens, WhatsApp credits, storage, trial, upgrades and cancellation.

Plan Comparison

EnterpriseCustom (contact sales)UnlimitedUnlimitedUnlimited1000 GB

Every new tenant gets a 14-day free trial. All plans bill monthly; INR prices exclude 18% GST, and INR/USD prices are set natively for each market (not currency-converted). Prices may be updated — the Plans card in your Billing page always shows the current amounts. Telephony minutes/numbers are a separately priced add-on on top of the plan feature.

Billing Page (Owner)

Go to Settings → Billing:

  • Usage panel - Current plan and status (trial / active) plus meters for seats, AI tokens, WhatsApp credits and storage. Enterprise shows "Unlimited"
  • Plans card - Side-by-side comparison; Upgrade / Downgrade changes are prorated and take effect immediately
  • Payment method - On Stripe (international) you see your card (brand / last 4 / expiry) and can update it. On Razorpay (India) card / UPI / netbanking is handled in Razorpay checkout when you start or change a plan
  • Invoices - Full history with date, amount, status; download any invoice
  • Billing address - Update the address printed on invoices

Quotas are enforced: inviting beyond your seat limit is refused (existing users can still sign in), an over-quota upload is refused with your usage shown, and WhatsApp sends past the monthly cap are logged as failed. Enterprise (-1) means unlimited.

Auto-renewal on Razorpay: Starter and Growth (under ₹15,000 incl. GST) renew automatically under the RBI e-mandate rules; Business renewals may prompt you for a bank OTP each cycle.

Cancelling

Use the cancellation flow, pick a reason (too expensive, switching, missing features, project completed, not what I expected, technical issues, other) and confirm. Your plan stays active until the end of the paid period (the grace-period end date is shown), and you can Resume any time before it ends without interruption.

Failed Payments

If a renewal charge fails, a red alert appears at the top of Billing. On Stripe, click Update payment method to fix your card and retry; on Razorpay, click Complete payment to settle via checkout. Resolve it promptly — repeated failures put the subscription on hold and lock the product.

Product locked? Core modules are gated behind an active subscription or trial. A non-owner who hits a lapsed subscription sees a "subscription expired" page — ask the account owner to renew in Settings → Billing.

How Do I Set Up Two-Factor Authentication (2FA)?

Protect your account with a Google Authenticator / TOTP code on every new session.

Enabling 2FA

  1. Open Settings → Security (also reachable at /settings/security)
  2. Click Set up two-factor
  3. Scan the QR code (or enter the secret manually) in Google Authenticator, Authy, 1Password, Microsoft Authenticator or any TOTP app
  4. Enter the current 6-digit code and click Confirm — 2FA is now Enabled

From then on, each new session prompts you for a code at the MFA challenge screen.

Disabling 2FA

Return to Settings → Security and click Disable (you'll be asked to confirm). Security pages are always reachable for the signed-in user regardless of role.

Lost Your Device?

Ask your account owner for help — once you're signed in you can disable and re-enroll from Settings → Security. If the owner is locked out, contact Forem Support through the contact page from the registered owner email.

Tip: Codes are time-based — if yours is rejected, check that your phone's clock is set to automatic. Both tenant users and platform admins can use 2FA.

Customer Portal & Partner Portal

What your buyers and channel partners can do on their own, and how they sign in with a one-time code.

Customer Portal (for buyers)

Buyers with a booking sign in at /portal/login on your company address — no password needed:

  1. Enter the email or phone registered on the booking
  2. Enter the one-time code that is sent to it
  3. The portal opens, scoped to that booking only

In the portal a customer can:

  • See their booking and unit details, and a document cabinet (name, type, status, sign-off date)
  • View the payment schedule and pay outstanding dues online via Razorpay, with receipts (if online payment isn't enabled for the builder yet, the portal says so and asks the buyer to contact the sales office)
  • Follow construction progress updates (timeline, percent complete, photos) you publish
  • Leave feedback and raise support tickets

Staff can check what a buyer sees with the portal preview on a booking.

Partner Portal (for channel partners)

Approved partners sign in at /portal/partner/login with a one-time code, then can submit leads, browse available inventory and view their commission ledger.

Public Pages

  • Enquiry form - Leads submitted here appear in your CRM automatically
  • /partner/register - Partner self-registration
Code not arriving? Codes are valid for 10 minutes and lock after 5 wrong attempts. Wait a minute, check spam/WhatsApp, confirm the email/phone matches the booking (or partner profile), then request a new code. If it still fails, the builder's team can verify the contact details on the booking.

Data Security, Privacy & Owner Settings

Tenant isolation, audit trail, DPDP/GDPR requests, custom domains, API keys, webhooks and multi-currency.

How Your Data Is Protected

  • Tenant isolation - Every builder's data is isolated at the database layer (Postgres row-level security). Even "all leads" visibility never crosses into another company
  • Role-based access - Permissions per role, plus own/team/all lead scoping and PII masking
  • Two-factor authentication - Available to every user and to platform admins
  • Audit trail - A tamper-evident security log (SHA-256 hash chain with chain verification) under Settings → Audit trail
  • Session scoping - Sessions are tied to your company's domain

DPDP / GDPR Requests

Under Settings → DPDP / GDPR, the owner can process data-subject export and erase requests per lead, to comply with India's DPDP Act and GDPR.

Other Owner Settings

  • Domains - Connect a custom domain (white-label), set the primary domain, request/revoke SSL. Subdomains under forembgo.com are covered automatically; a fully custom domain needs its certificate provisioned by our team, so expect a short delay after connecting it
  • Currency - Base currency and manual exchange rates (multi-currency)
  • Developer - API keys, outbound webhooks and webhook logs
  • Application - General application configuration
  • AI run logs - Token / cost / latency observability
  • Users, Branches, Document Rules, Billing - covered in their own articles

Upload Limits

  • KYC / identity documents - PDF, JPG, PNG · up to 5 MB
  • Agreements - PDF only · up to 20 MB
  • Site / progress / snag photos - JPG, PNG, WEBP · up to 10 MB
  • Plot layout drawings - PNG, JPG · up to 20 MB (rasterize PDFs first)
  • Imports - CSV, XLSX · up to 5 MB
  • Never accepted: SVG, HTML, scripts, executables, or archives (zip/rar/7z)

Uploads are stored on a private disk and streamed back only after a permission check. Default retention: lost leads, messages and AI logs 365 days; audit logs 730 days.

Tip: Storage counts toward your plan quota (10 GB Starter · 50 GB Growth · 250 GB Business · 1000 GB Enterprise). Keep KYC and agreement uploads compressed where possible.

Troubleshooting Common Issues

Missing menu items, "plan doesn't include this", locked product, masked phone numbers, session issues and more.

I can't see a menu item that a colleague has

The sidebar shows only what your role permits and your plan includes. Telecallers don't see Reports, Partners or Finance; only the owner sees Settings & Admin. Ask your owner to change your role in Settings → Users.

A feature says "your plan doesn't include this"

RERA reports need Business/Enterprise; click-to-dial telephony needs Growth/Business/Enterprise. The owner can upgrade in Settings → Billing.

The whole product is locked / "subscription required"

Your 14-day trial ended or the subscription lapsed (or a renewal payment failed). The owner needs to subscribe, renew or fix the payment method in Settings → Billing.

I'm asked for a 6-digit code at login

2FA is enabled on your account — enter the current code from your authenticator app. Lost your device? See the 2FA article above.

I can't sign in at all

  • Make sure you're on your company's address (yourcompany.forembgo.com) — the central forembgo.com login simply redirects you there, and a different domain starts a separate session
  • Your account must be verified and active; ask the owner to check Settings → Users
  • Use "Forgot password" on the login page to reset via email

A telecaller only sees some leads

Correct — telecallers and sales executives have own-only visibility. The Marketing Head / Sales Manager / owner assigns leads.

Customer phone numbers are masked

PII is hidden unless your role holds the "view PII" permission (Telecaller, Sourcing Manager, Marketing Head, Sales Manager, Owner).

Changing a stage asked me for a remark

A remark is required on manual stage changes so the timeline stays complete.

A lost lead won't let me re-add it as new

Lost leads sit in a 90-day cooldown; a repeat enquiry annotates the existing record. After 90 days it revives as a fresh lead.

CSV unit import left units without a tower

The tower column must match an existing tower's name exactly. Create the tower and re-import the same file — units match on uid, so nothing duplicates.

Click-to-dial button is greyed out

Either your plan lacks Telephony (Starter) or you haven't set your agent phone in the Telecalling studio.

Messages show as sent but nobody received them

WhatsApp/SMS need the channel to be connected for your workspace, and WhatsApp business-initiated messages need an approved template. Check the Outbox for the delivery state and failure reason.

Upload refused

Check the file type and size limits (KYC 5 MB PDF/JPG/PNG · agreements 20 MB PDF · photos 10 MB) and your storage quota in Settings → Billing.

Pages load slowly or look broken

Use a current version of Chrome, Edge, Firefox or Safari; clear the browser cache; disable aggressive ad-blockers for your company domain. Check System Status for incidents.

Still stuck? Contact support (or email support@forembgo.com) with your company address, your role, the page URL and a screenshot — or track an existing request in the Ticket Tracker.
